Use the ISU Voice Mail System

The following information will help you get started using the ISU Audix voice mail system.

To Access the ISU Intuity Voicemail

  1. Dial 6-6245 (6-MAIL). From an off-campus telephone, dial 296-6245.
  2. Enter extension number, followed by the #.
    • If calling from your own extension enter only #. The system will retrieve the voice mail messages from the extension you are calling from.
  3. Enter password and #. (If you forget your password, please contact your voice/data coordinator to have it reset.)
  4. See Actions below for instructions on specific functions.

New Users

  1. To call Voice Mail for the first time, dial 6-6245 (6-MAIL). From an off-campus telephone, dial 296-6245.
  2. Enter your extension number, followed by the #.
    • If calling from your own extension enter only #. The system will retrieve the voice mail messages from the extension you are calling from.
  3. Follow the system prompts to record your name for the ownership of the mailbox, and then create a password of at least two digits, not ascending or descending digits and not the same digits.
  4. See Actions below for instructions on specific functions.

Actions

Press 1 to Record and Send Messages

  • Record Message
    • Press # to approve message
    • Press 1 to edit message
  • Send (Address) Message:
    1. Enter extension number(s) and #.
    2. Press # when finished addressing.
  • Delivery Options - press number for desired delivery option:
    • Press 1 - Private
    • Press 2 - Public
    • Press 3 - Schedule Delivery
    • Press 4 - File copy

Press 2 to Retrieve Messages

  • Listen to, Skip, Save, or Delete a Message
    • Press 0 to listen to message summary.
    • Press # to skip and save.
    • Press *D to delete a message.

After listening to a message, you have the following options:

  • Reply to Message
    1. Press 1 to respond/forward message.
    2. Press 1 to reply in Voice Mail.
    3. Attach a copy: yes (9) or no (6).
  • Forward Message with Comment
    1. Press 1 to respond/forward message.
    2. Press 2 to forward with comment.
    3. Speak your message.
    4. Press # to approve or 1 to edit.
    5. Enter extension number and #.
    6. Press # when finished addressing.
  • Delivery Options - press number for desired delivery option:
    • Press 1 - Private
    • Press 2 - Public
    • Press 3 - Schedule Delivery
    • Press 4 - File copy
  • Send message
    • Press # to send message.

Press 3 to Administer Personal Greeting(s)

  • Select Call Type
    • Press 4 to select call type
    • Press 1 for Internal/External
      • Internal – message played to callers within ISU system
      • External – message played to callers outside of ISU system
    • Press 2 for Busy/No Answer
      • Busy – message played to callers when you are on a call
      • No Answer – message played to callers when you are away from your desk.
    • Press 3 for Out of Office Hours
      • Message played outside of normal business hours (5:01 pm – 7:59 am)
    • Press 5 for Same Greeting for All Calls
  • Create Greetings
    1. Press 3 to administer greeting.
    2. Press 1 to record greeting.
    3. Enter greeting number, 1-9.
    4. Press 1 to begin recording.
    5. Speak greeting.
    6. Press # to approve or 1 to edit.
  • Activate the Greeting - After recording, follow prompts to activate your greeting
    • Press 0 for All calls
    • Press 1 for Busy or Internal
    • Press 2 for No Answer or External
    • Press # when finished.

Press 4 to Check Outgoing Messages

  • Listen to Category* and Message Header. Use the options below to determine what to do with your messages:
    • Press 0 to listen to the message.
    • Press 2 + 3 to play back the message header.
    • Press *D to delete and skip to the next message.
    • Press # to save and skip to the next message.
    • Press *# to skip to the next message category.
  • *Categories:
    • Undelivered - Not yet sent because it's scheduled for future delivery.
    • Delivered - Delivered but not yet listened to.
    • Accessed - Delivered and listened to.
    • Undeliverable - Can't be delivered, usually because the recipient's mailbox is full.
    • Filed - Copies and saves the outgoing message to re-send and/or modify.

Press 5 for Personal Options

  • To Change your Password:
    1. Press 5 + 4 from main menu.
    2. Enter a new password followed by the #. (Password must be at least two characters, not ascending or descending digits and not the same digits).
    3. Re-enter the password again followed by the #.
  • To Record Your Name
    1. Press 5 + 5 from the main menu.
    2. Speak your name after the tone.
    3. Continue with the following options:
      • Press 1 to stop.
      • Press 1 to re-record.
      • Press 2 + 3 to play back.
      • Press # to approve.
  • To Create Mailing Lists
    1. Press 5 + 1 + 1 from the Main Menu.
    2. Enter the list ID (up to 6 letters or digits) and press #.
    3. Press 1 to make list private or 2 to make list public.
    4. Enter an address and press #.
    5. Repeat step 4 until list is complete.
    6. Press # to approve.

Press 7 to Scan Messages Quickly

  • Press 1 to scan headers and messages
  • Press 2 to scan headers only
  • Press 3 to scan messages only

Faxes

  • Fax Tones - If you hear a fax tone when answering a call, do the following:
    1. Press TRANSFER on your telephone
    2. Enter the number for the fax machine (4-XXXX or 6-XXXX)
    3. Press TRANSFER AGAIN
  • Printing Fax Messages Received in Voice Mail
    • To print a fax to a fax machine:
      1. Press 2 from the Main Menu
      2. Listen to the message header.
      3. Press * 1 to print the fax.
      4. Enter the fax prefix (3) and the fax machine’s extension number. (e.g. 34-XXXX)
    • To set default fax print options:
      1. Press 5 and 3 from the Main Menu.
      2. Press 1 to select the default print number.
      3. Enter the fax prefix (3) and the default fax number. (e.g. 34-XXXX)
      4. Press # to approve.
    • To print a fax to your default fax machine:
      1. Press 2 from Main Menu.
      2. Listen to the message header.
      3. Press *1 to print the fax.
      4. Press #. Important- You must already have selected and set up your default fax printer.
