New Telephone System: Here's What We're Hearing
The first group of approximately 1,000 on-campus telephone customers was fully converted to the new Aastra system on May 31, and a second group, another 1,000 users, converted June 6. The overall implementation is proceeding according to schedule.
While the new (Aastra) system is functioning well, ITS is finding that it is taking longer than expected to remove telephone lines from the old (Avaya) system, which has caused some service disruptions on conversion day. During this time, you may need to dial full telephone numbers for on campus calls, 8-515-294-xxxx. We are finding this is generally resolved within 24 hours of conversion.
As telephone users are being converted, several questions and comments have come up somewhat frequently.
Clearspan Server Unavailable
The User ID for the web portal, where you can access and program many of your telephone features, is long (##########@voice.iastate.edu). Many users are having trouble typing it in correctly the first time or two. If you DO type it incorrectly, you will get a message that says "Clearspan server unavailable." Most likely, the server is available and you made a typo; please try entering your User ID again. If you get locked out (after five incorrect attempts), call the Solution Center at 515-294-4000 to reset your password.
Do not push the lock button on your telephone. While instructions from Aastra indicate that it is ok to do so, if you push "lock', your telephone will need to be manually unlocked by ITS personnel.
Your name is incorrect on the new telephone
If you would like to change your name on the telephone for any reason, you may do that through the Aastra Web portal, on your Profile. After making your change, click Apply.
BLF stands for Busy Lamp Field
This is programmable. What that means is that you can select certain frequently called numbers to display a signal when that person's telephone is busy. You can add numbers to your BLF through the Aastra Web portal.
If your telephone is pre-programmed for more BLF fields than you require, you may substitute other types of fields, such as speed dial, in these areas. After July 1 when all telephones are fully converted, ITS and Aastra will add functions to make that simpler for users to program. In the meantime, if you would like to replace BLF with speed dial or other functions, please contact the Solution Center at 515-294-4000.
You will find further information, including how to set up call forwarding, access voice mail, and the mobile option (simultaneous ring) on the how to Set Up Your Aastra Telephone and Features.
