Net-ID Suspension

Student Net-IDs are reviewed every semester to determine if they are still eligible.

Net-IDs of separated employees are suspended following their last day of work in accordance with the Sponsored Net-IDs standard.

Sponsored Net-IDs are reviewed annually or semiannually depending on the purpose.

To insure Net-IDs are not mistakenly suspended, the owner of a Net-ID subject to suspension receives an email requesting that they take action if the Net-ID is still appropriate.

What happens if my Net-ID is suspended?

If your Net-ID is suspended, you will no longer be able to:

  • Log into Iowa State services such as email and Blackboard
  • Use authenticated services, such as public computer labs.
  • Save new files in online file space (CyFiles, OrgFiles, ResearchFiles).
  • Retain a personal webpage at http://[your-net-id].public.iastate.edu.

How do I know if my Net-ID is going to be suspended?

An email is sent to notify you if your Net-ID is about to be suspended. To verify your eligibility for a Net-ID, see the section below that pertains to you.

Students

In order to remain eligible for a Net-ID, students must meet one of the following conditions:

  • Have been enrolled in the most recent Spring, Summer or Fall semesters.
  • Be sponsored in accordance with the Sponsored Net-IDs standard.

Faculty/Staff/Emeritus

In order to remain eligible for a Net-ID, faculty & staff members must meet one of the following conditions:

  • Be currently employed at Iowa State University.
  • Be sponsored in accordance with the Sponsored Net-IDs standard.
  • Be an emeritus faculty member that has a net-ID renewed between July 1 and October 1 of the current calendar year.

What do I do if my Net-ID is going to be suspended mistakenly?

If your Net-ID is going to be suspended and you believe you are still eligible for a Net-ID, follow the steps below:

Students/Faculty/Staff

  1. Log into ASW with your Net-ID and password.
  2. Click "Manage Sponsored Net-IDs".
  3. Click "Check Your Net-ID's Sponsorship Status" to see the status of your Net-ID account.
  4. If the information listed is incorrect, contact the Solution Center for assistance.

Sponsored Net-IDs

If your Net-ID is sponsored, check the status of your account and take appropriate the action.

  1. Log into ASW with your Net-ID and password.
  2. Click "Manage Sponsored Net-IDs".
  3. Click "Check Your Net-ID's Sponsorship Status" to see the status of your Net-ID.
  4. If your Net-ID is set to expire, contact your sponsor to renew it or have it turned into a real Net-ID if eligible.
  5. If the information listed is incorrect or you need assistance, contact the Solution Center for assistance.

Emeritus Faculty

Emeritus faculty must renew their Net-ID account annually for it to remain active. A Notice of Renewal email is sent to emeritus faculty Net-ID accounts on July 1, August 1, September 1, and the first Tuesday of October. Emeritus faculty can renew anytime between July 1 and the first Tuesday of October each year. Emeritus faculty who receive the notice of renewal should follow the steps below to keep their Net-ID account active:

  1. Log into ASW with your Net-ID and password.
  2. Click "Manage Sponsored Net-IDs".
  3. Click "Extend Account Expiration (Emeritus Only)".
  4. Click "Renew".

What do I do if my Net-ID is going to be suspended, but I still need it?

If a valid business purpose to keep your Net-ID exists, a university employee may sponsor your Net-ID in accordance with the Sponsored Net-IDs standard.

What will I be able to do after my account is suspended?

Student email forwarding options may still be set up until early in the semester following the suspension. For instructions on forwarding email, read how to Forward Your Iowa State Email Using ASW.

Emails directed to a suspended employee's Net-ID will be sent a Notice of Non-Delivery reply that informs the sender the employee is no longer with the university. The Notice of Non-Delivery may include the email address of a new contact at the university or a personal email address for the former employee if either one has been set up. To designate a personal email address to be included in the Notice of Non-Delivery, follow the steps below:

  1. Log into ASW with your Net-ID and password.
  2. Click "Change Mail Delivery."
  3. In the section labeled "Email information for (soon to be) Former Employees", enter your personal email address in the box at the bottom and click "Update My Info".

What does a department do if an employee's Net-ID is to be suspended?

When a faculty or staff member's Net-ID is going to be suspended, an email warning of the suspension is sent to both the user of the Net-ID and their department's HR Liaison. The HR Liaison has the ability to enter a forwarding address for business purposes.

If there is a valid business purpose for the employee to keep their existing Net-ID beyond the date indicated in the email, the Net-ID may be sponsored in accordance with the Sponsored Net-IDs standard. If not, no action is necessary.

What happens if an employee is notified of suspension and the department intends to reappoint with no gap in employment?

If an EPA is en route and will be fully approved prior to the employee's end date, there will be no lapse in the Net-ID and no action is needed.

If the EPA is not routed and approved by the end date, the department can sponsor the Net-ID after the end date in accordance with the Sponsored Net-IDs standard. Upon approved reappointment, the Net-ID will be changed to normal, non-sponsored status.
