Iowa State University is a participant in the Iowa Board of Regents Microsoft Enrollment for Education Solutions (EES) [formerly known as the Microsoft Campus Agreement (MCA)]. Under this agreement, the software which ISU has enrolled can be installed on any computer owned or leased by Iowa State University and that is used exclusively by its faculty and staff or on computers that remain in its open access computer labs:
- Microsoft Office (Mac and PC)
- Microsoft Windows Upgrades*
- Microsoft Enterprise Server CAL Suite
- Windows Server CAL
- Exchange Server CAL - All Versions
- Office SharePoint Server CAL - All Versions
- Microsoft Office Communications Server CAL - All Versions
- Systems Center Configuration Manager Configuration Management License
- System Center Operations Manager Client Monitoring
- Windows Rights Management Services
- Forefront Security Suite
* The license covers "upgrades". You can only apply to computers that have an existing Microsoft Windows or Macintosh OS installed.
Core Server Option
With the addition of the core server option departments have access to the Microsoft server products listed below. This option allows department to receive product upgrades for the duration of the agreement at no additional licensing cost.
Core Server products for all campus servers, products include**:
- Windows Server - All Editions
- Microsoft SharePoint Server - All Editions
- Microsoft Exchange Server - All Editions
- Microsoft Lync Server - All Editions
- Windows Server External Connector
- Exchange Server External Connector
- Lync Server Standard External Connector
- Windows HPC Server
** Does not include FAST Search for SharePoint, Forefront UAG, TMG, or System Center 2012 Datacenter, Windows RMS EC, SharePoint for Internet Sites Enterprise, Lync Server Enterprise EC.
Additional Microsoft Licensing
SQL server licensing is not covered for all of campus under the EES but departments have the ability to purchase SQL Server and other Microsoft products at a discounted rate. The additional software purchased under this agreement is licensed with software assurance, must be renewed yearly or the software must be removed. Or Departments may purchase Microsoft software under an optional agreement in the Microsoft Select program through the University Book Store's Tech CYte. The software purchased under the Select Agreement may be purchased outright or with software assurance.

Distribution of Microsoft Software and License Keys
A Contact of Record for each department or unit has been appointed to distribute the software and keys for their department. The Contact of Record is responsible in keeping the software and keys secure. With departmental approval, an individual may become a Contact of Record by completing the EES COR form and faxing to 515-294-1717.
Microsoft Office for Faculty/Staff
Office 365 ProPlus
Office 365 ProPlus is available for free to Iowa State faculty and staff for their personal use. To access the software, log in to Office 365, view the ProPlus license, and download the latest version of Office (2016 for Windows, 2016 for Mac). Previous versions of Office are also available for download. This offering allows faculty and staff to install Office on 5 computers (Windows or Mac) and on 5 mobile devices of their choice. While free to all faculty and staff, the benefits of the ProPlus program will be severed when an individual leaves the university. It is the understanding of ITS that the software will continue to function in a read-only mode until the user opts to purchase a license or personal subscription. Should a new version of Office come out when the user is still affiliated with the university, upgrading to that version will be free.
Home Use Program (HUP)
Through the Home Use Program (HUP) faculty and staff can purchase Microsoft Office for their personal use at a very reasonable cost. The Office 365 ProPlus option above is a more flexible option, but also depends on network access to login. If your personal device may be limited or without network access, the HUP offers another option.
Office 365 ProPlus for Students
Office 365 ProPlus for Students is an add-on for Office 365 that the university has access to as part of the Student Advantage program. Students can log in to Office 365, see their ProPlus license, and download the latest version of Office (currently 2016) for free. Previous versions of the software, like Office 2013, are also available for download.
While free to all registered Iowa State students, the benefits of the ProPlus program will be severed when an individual leaves the university. It is the understanding of ITS that the software will continue to function in a read only mode until the user opts to purchase a license or personal subscription. Should a new version of Office come out when the user is still a student, upgrading to that version will be free.
