What is Third Party Access and Who Is It For?

Third party access in Workday - also called "Third party permissions" or "Friends and Family access" - allows individuals other than the student, such as parents, guardians or other trusted contacts, to view specific student account information. Specific information can include U-Bill, financial aid tracking, academic planning and more. 

What Can a Third Party See with Their Access?

Access is granted by the student. When setting up third party access, students choose which specific areas to share. Depending on permissions granted, third parties may be able to view:

  • Billing details
  • Financial aid
  • Academic schedules
  • Grades

Steps to Try Before Contacting Support

If third party access has not been set up:
Students should follow this setup guide in the ISU Service Portal for creating third party access. You will be prompted to log in with your ISU email address and password.

If third party access has been set up but is not working:

  • Try the actions on a laptop or desktop computer, not a mobile device.
  • Verify the third party is logging in at the correct portal: the Third Party Access Portal, not the Workday app.
  • Check to verify the third party received two setup emails: one with login credentials and one with the temporary password. These may be in the junk/spam folder.
  • Double-check to confirm the third party is entering their username exactly as displayed in the third party access setup email: this should follow the format "prox-exampleparent@email.com."
  • Use the password reset tool on the third party access portal if the password isn’t working.

If the third party is still unable to log in after verifying all of the above:

The student should contact the IT Solution Center directly. Due to FERPA and other privacy regulations, support technicians cannot speak directly with third parties about student account information unless the student is present. This includes confirming whether third party access has been set up. Students must be over 18 to authorize third party access and they retain full control of what is shared.
